What does your solar hot water quotation include?
A solar hot water quotation should explain how the system will suit your roof, hot water demand and existing cylinder, then set out the equipment, installation work and total cost. We also explain any required changes, likely solar contribution and the assumptions behind the estimate, so you can compare the proposal properly.
A useful solar hot water quotation should show how the system will work in your home, exactly what we will install, and which costs are included. It should also identify anything that could change the price before work begins.
Assessment of the property
Your roof, hot water system and household usage determine whether solar water heating is suitable. During the survey, we look at the roof’s orientation, pitch, usable area, shading and access. We also check the condition of the roof covering and identify any work that needs completing before panels can be fitted.
If the roof is shaded for part of the day, the quotation should explain how that affects expected hot water production. A clear quotation will not assume that every roof is suitable simply because it has enough space for panels.
We also assess the existing cylinder, boiler or other heat source, hot water pipework and available space for the solar equipment. Older cylinders may not have the connections needed for solar thermal. If replacement is sensible, the quotation should show this as a separate item rather than hiding it within a general installation cost.
System design
The quotation should describe the proposed solar thermal arrangement, including the panel layout, collector type, pump station, expansion vessel, controller and hot water cylinder. It should explain where the equipment will go and how the system will connect to the existing heating and hot water arrangements.
Your household’s hot water demand matters here. A home with regular daytime demand may use the solar heat differently from one that is empty most of the day. We use the survey findings and your normal hot water use to size the equipment rather than treating the roof area as the only consideration.
The design should also explain what happens when the sun does not provide enough heat. The existing boiler, immersion heater or other backup heat source may still be needed. The quotation should state how that backup operates and which controls manage the changeover.
Equipment and materials
A detailed quotation lists the main equipment and installation materials. This normally includes:
- solar thermal collectors and roof mounting equipment;
- the solar pump station and expansion vessel;
- the solar controller, sensors and associated controls;
- the hot water cylinder or any cylinder modifications;
- insulated solar pipework, valves and fittings;
- roof flashing, fixings and weatherproofing materials; and
- commissioning fluid and other materials needed to fill and protect the circuit.
The quotation should distinguish between equipment supplied as part of the standard design and optional items. That makes it easier to compare quotations without assuming that two apparently similar systems contain the same components.
Installation work
The installation section should set out the work required inside and outside the property. On the roof, this may include access equipment, mounting the collectors, fitting the flashings and routing insulated pipework into the building. Inside, it may include changes to the cylinder, fitting the pump station and controller, connecting sensors and altering sections of pipework.
Older homes can need more careful routing. A solid-wall property, barn conversion or listed building may have limited concealed routes or restrictions on external changes. We explain the practical route before work starts and identify any access or making-good assumptions in the quotation.
If scaffolding, roof access equipment, core drilling, electrical work or extra protection for floors and fittings is needed, it should be shown clearly. Any work outside the stated scope should require agreement before we carry it out.
Electrical and plumbing requirements
Solar thermal systems need electrical power for their controller and pump. The quotation should explain any new electrical connection, isolation switch or alterations to existing wiring. It should also identify plumbing changes, including cylinder connections, discharge arrangements and insulation of external or accessible pipework.
Where the existing system has unsafe, damaged or unsuitable components, we explain the issue and the available options. We do not assume that old valves, cylinders or controls can be reused simply to keep the initial price lower.
What the cost should show
The total should be supported by a clear breakdown. It may include the survey and design, equipment, labour, access arrangements, commissioning and handover. It should also state whether any necessary electrical or building work is included.
Some quotations separate the standard installation from possible additional work. This is useful when the survey cannot confirm a concealed pipe route or the condition of an existing cylinder. We explain the assumption, the reason it may change the cost and how we would confirm it before proceeding.
Any deposit, payment stages, tax treatment, cancellation terms and quotation validity period should be stated in writing. Prices for equipment can change, so the document should make clear how long the quoted price applies.
Expected contribution and running arrangements
A quotation should explain how the system is expected to contribute to hot water for the property, without presenting a generic saving that may not match your roof, household or backup heating system. We discuss the factors that affect performance, including shading, hot water demand, cylinder capacity and the way the backup heat source is used.
Solar water heating normally reduces the amount of energy needed from the backup system when usable solar heat is available. It does not produce the same amount of hot water every day, so the quotation should leave you clear about what the system can and cannot do.
Commissioning and handover
Once the system is installed, we fill and check the solar circuit, test the pump and sensors, and set the controller. We check the hot water cylinder and backup heat source as part of the completed arrangement, not just the panels on the roof.
The handover should include operating instructions, control settings, system documentation and details of the equipment warranties. We explain what the display means, how the backup heating operates and which checks indicate that professional attention is needed.

Before work starts, we issue the agreed scope and price in writing. If the survey reveals a problem that was not visible beforehand, we explain it and obtain approval for any change rather than adding an unexpected charge.
