What paperwork will I receive after an emergency boiler repair?

After an emergency boiler repair, we provide an itemised invoice describing the fault, work completed and parts used. Where relevant, we also provide the applicable safety record and written advice about any follow-up work or limitations.

You should finish with a clear record of what failed, what we did, and what still needs attention. The paperwork depends on the repair, the type of boiler and whether the appliance was left fully operational.

  • Invoice: This identifies the boiler, records the fault reported, lists the work carried out and separates labour, parts and any other agreed charges. It also shows any balance due, so you have a straightforward record for your files.
  • Repair record: Our engineer notes the diagnosis, the components repaired or replaced, and the checks completed afterwards. For a gas boiler, this can include relevant operating and flue safety checks. For an oil-fired boiler, the record may include combustion or burner checks appropriate to the work.
  • Safety information: If the repair involved a safety concern, the paperwork explains what we found and any restrictions or advice that apply. If an appliance could not safely be left running, we explain the reason and the steps needed before it can be used again.
  • Guarantee details: Where a repair or replacement part has a guarantee, we give you the applicable terms in writing. These explain what is covered and any conditions that affect a future claim. A guarantee does not cover unrelated faults that develop later.
  • Follow-up recommendations: If the breakdown exposed corrosion, poor controls, an ageing component or another developing fault, we record that separately from the completed repair. You can then decide whether to plan further work rather than treating a temporary repair as a complete upgrade.

For a gas appliance, our Gas Safe registration means the work is carried out by an engineer legally qualified to work on gas boilers. The paperwork from a repair is not the same as an annual landlord gas safety record. If the property is rented, you may still need the appropriate separate safety check when it is due.

If the boiler serves an older home or has an oil-fired system, the record can also help with future servicing and replacement decisions. Keeping the model, fault history and parts used in one place makes it easier to identify recurring problems and assess whether continued repairs remain sensible. Oil-fired work is covered by our OFTEC registration, which is particularly relevant for properties that are not connected to the gas grid.

Keep the invoice and repair record with the boiler manuals, service history and previous certificates. If another engineer needs to investigate the appliance later, those details can prevent repeated fault-finding and show which components have already been changed.

If the repair leads to recommended improvement work, we explain the reason for it and provide a written quotation before that work starts. You can use the paperwork to compare the cost of another repair with a planned boiler replacement, without having to make that decision while dealing with the original breakdown.

Before leaving, we talk through the paperwork with you rather than leaving you to interpret technical notes. We explain what caused the fault, what the boiler can do now and what needs attention next. If the appliance is working with a restriction, we make that clear so nobody assumes the repair was a full return to service.

That handover is useful if someone else later services the boiler or assesses a replacement. The next engineer can see the recent diagnosis and avoid treating an old symptom as a new fault.
