What certification and paperwork will I receive after the heating work?
After heating work, we provide the records relevant to the job, including service or repair notes, commissioning details, safety certificates and compliance paperwork. For a new or altered system, we also hand over the equipment warranty information and explain what each document confirms.
The paperwork depends on the fuel and the work carried out. After the job, we give you the records needed to show what we installed, how we commissioned it and which compliance requirements apply.
Gas boiler work
For a gas boiler installation or replacement, we complete the manufacturer’s commissioning record, including the appliance details, flue checks, operating readings and safety tests. We also register the installation through the Gas Safe scheme where required, so the relevant Building Regulations Compliance Certificate can be issued to you.
If we carry out a gas safety check as part of the work, we provide the appropriate gas safety record. This is particularly important for landlords, who need evidence that gas appliances and associated pipework have been checked as required for a rented property.
Oil-fired heating
Oil boiler and oil appliance work comes with an installation or commissioning record showing the appliance information, burner settings, flue arrangements and safety checks. OFTEC registration allows the relevant work to be notified under the applicable building regulations process, where notification is required.
That record matters on an off-gas-grid property. It gives a future engineer, buyer or surveyor a clear history of the oil system rather than leaving them to work out what was changed.
Air source heat pump installations
For an air source heat pump, the handover pack includes the commissioning information for the heat pump, controls and associated heating system. It records the system settings and confirms that the equipment has been tested and handed over for use.
Where the installation is eligible for the Boiler Upgrade Scheme, MCS certification allows us to make the grant application on your behalf. The MCS documentation also provides the evidence needed for the installation to qualify for the scheme’s requirements. Keep this paperwork with the property records, as it may be needed later for maintenance, a grant query or a sale.
Electrical work connected with heating
A heating replacement can include new electrical circuits, isolation switches, controls or consumer unit alterations. Where the electrical work requires certification, we provide the appropriate Electrical Installation Certificate or Minor Electrical Installation Works Certificate. The certificate identifies the work covered and records the inspection and test results.
The certificate applies to the electrical work described on it, not automatically to every part of the heating system. We explain what has been tested so you know which document relates to the boiler, heat pump, controls or supply circuit.
Building regulations and compliance documents
Not every heating repair needs a building regulations certificate. A like-for-like repair may only need the relevant service or repair record. A new boiler, altered flue, new heating circuit or substantial system change may require notification or additional compliance documentation.
We identify the paperwork required for the work rather than giving you a generic pack that does not explain what has been done. If another body needs to issue a certificate, we submit the required notification or provide the information needed for that process.
Warranty and appliance information
The handover documents also identify the appliance model and serial number, installation date and the equipment covered by the manufacturer’s warranty. We provide the warranty information and explain any registration or maintenance conditions that apply.
Keep the invoice, commissioning record and warranty documents together. A manufacturer or future engineer may ask for the model and serial number before arranging parts, service work or a warranty visit.
What to check when the work is complete
- Check that the property address and appliance details are correct.
- Keep the boiler, heat pump or cylinder model and serial numbers with the records.
- Make sure the commissioning readings and safety checks have been completed.
- Keep any electrical certificate with the property’s other electrical documents.
- Retain the compliance certificate, warranty information and invoice together.
- Pass the records to a buyer, letting agent or future engineer if the property changes hands.
We also explain the controls and basic operating settings at handover. If the system includes radiators, pumps, thermostats or zone controls that were changed during the work, the records show what was fitted and the instructions show how to use it.
For a planned replacement, this paperwork gives you a useful record of the installation. For a rental property, it supports the compliance file. For an older or rural home, it gives the next engineer the information needed to work on the system without relying on guesswork.
If your heating system has been altered over several visits, the paperwork helps separate the new work from the existing installation. We identify which appliance, controls, pipework or electrical circuit each record covers, so a future repair does not rely on assumptions.
Keep the documents with the property records rather than with discarded appliance manuals. If you sell, let the property or ask for further work, the next person can see what was installed, tested and registered.
