What paperwork should commercial solar installers provide?

A commercial solar installer should provide the MCS certificate, equipment and workmanship warranties, electrical compliance records, commissioning results and a clear handover pack. Where relevant, the paperwork should also cover grid connection, planning or building-control requirements, so your business has the records needed for operation, maintenance and future inspections.

A commercial solar installation should finish with a clear record of what was designed, approved, installed, tested and handed over. The installer should give the building owner a complete document pack, not just an invoice and a set of equipment manuals.

The exact paperwork depends on the size of the system, the building, the electricity connection and the responsibilities agreed with the landlord or occupier. We would normally organise it into the following sections.

Design and survey information

Before work starts, the design file should explain how the system was matched to the building and its electrical installation. It should include:

  • the final panel layout, showing roof areas, access routes and equipment positions;
  • the system capacity and expected electrical configuration;
  • a single-line diagram showing panels, inverters, batteries where included, distribution boards, protection and the point of connection;
  • cable routes, isolator positions and inverter locations;
  • the proposed monitoring arrangement;
  • equipment data sheets and installation instructions; and
  • any structural or roof assessment used to approve the panel layout.

This information matters if the building changes hands, if a future contractor needs to fault-find, or if the system is extended later. The drawings should match the installation on the roof and in the plant room, rather than showing a generic example.

Permissions and connection records

A commercial roof may need several approvals. The installer should identify which ones apply and retain the relevant correspondence or certificates. That can include planning permission, permitted-development checks, landlord or freeholder consent, a roof warranty approval and building-control records.

The electricity network operator may also require an application before the system is connected. The paperwork should show the agreed connection requirements, export limit and any approval for the proposed inverter or export-control equipment. A system with battery storage or a restricted export arrangement needs particularly clear records, because the network settings affect how it operates.

For a leased property, the file should make clear who owns the panels, who pays for repairs, who receives export payments and who can access the monitoring portal. These points are easy to overlook when the landlord and occupier are different organisations.

Construction and compliance documents

The completed pack should identify the equipment actually installed. We would expect to see make, model and serial-number records for panels, inverters, batteries, isolators, protection devices and monitoring equipment. Photographs of cable routes, roof fixings and concealed equipment can also help future maintenance, particularly where access will later be restricted.

Electrical paperwork should include the appropriate inspection and test results, circuit details, test values and confirmation that the installation meets the relevant requirements. It should also record the settings for protection, export limitation and shutdown equipment.

Where the project affects fire safety, the building owner should receive the information needed for the premises fire-risk assessment. This may cover equipment locations, isolation points, emergency procedures, cable routes, battery arrangements and access for the emergency services. The installer should not leave the facilities manager to work out how to isolate the system from a blank set of manuals.

Commercial projects may also involve construction-phase health and safety information, access arrangements, asbestos information or contractor records. The paperwork should reflect the project’s risks and the building’s management requirements, rather than treating a commercial roof like a domestic installation.

Commissioning and handover records

Commissioning records prove that the system was checked after installation and left operating with the agreed settings. They should state:

  • when commissioning took place;
  • which checks and tests were completed;
  • the final system configuration;
  • the inverter and export-control settings;
  • the monitoring system details;
  • any defects or outstanding work; and
  • who accepted the completed installation.

The owner should receive login details and instructions for the monitoring platform, along with an explanation of what the readings mean. A handover should cover normal operation, fault messages, isolation points, emergency shutdown and the process for reporting a problem. If different people manage the building and the electricity account, the installer should provide this information to everyone who needs it.

Warranties and ongoing maintenance

Equipment warranties should identify the covered product, the warranty period and the procedure for making a claim. The installer’s workmanship terms should be separate, so the owner can see who deals with a faulty panel, an inverter issue, a roof leak or an installation defect.

The handover pack should also set out maintenance requirements. This may include inspection intervals, cleaning advice, vegetation control, access requirements and checks on ventilation or battery equipment. It should state which tasks belong to the owner and which require a qualified contractor.

Do not accept a pack that lists equipment the installer did not fit or leaves serial numbers blank. Check that the drawings, test results and photographs match the finished system. Keep the documents with the building’s compliance records, because they may be needed for maintenance, insurance, a lease review or a future sale.
